We’ve compiled the most common questions from homeowners about invoicing and payment options, our service standards, and what to expect when working with our team.

Site Visits & Quotes:

It’s not always required for you to be present, as we provide personalized proposals tailored to your needs. However, it’s ideal to meet on-site so we can review your property together, understand your goals, and note any limitations or special considerations.

For your first appointment, being present is preferred. While we can access trees that aren’t behind locked gates, meeting in person allows us to explain our recommendations and build a relationship with you.

If you cannot be there, please mark the tree(s) in question—using ribbon, tape, snowplow markers, or paint (for removals)—so we know which trees to inspect. We also ask that you remain available by phone for questions or a virtual walkthrough.

We offer free quotes for all our tree care services. In certain situations—like insurance damage claims, tree preservation plans, or detailed arborist reports—our Arboricultural Consulting services may require more time and in-depth evaluation. Even in these cases, we can provide a free proposal so you know the scope and cost before committing.

We cannot give an accurate quote over the phone. Every tree and property is unique, so our representative needs to inspect the tree and its surroundings in person to provide a precise and reliable proposal.

There are three easy ways to accept your proposal:

  • Accept the quote electronically using the link in the email we send with your proposal.
  • Print the quote, sign it, and mail it to info@harmonytree.net.
  • Print and sign the proposal, then scan and email it back to info@harmonytree.net.

Scheduling:

Once you’ve accepted a quote, we’ll contact you to schedule your service. If you need immediate scheduling, please call our office at (484) 524-4545

We typically have a backlog of projects, so new work cannot be scheduled right away.

Even though it may seem straightforward, we can’t simply pick a date for your project because scheduling depends on several factors, including weather, equipment availability, staffing, permits, and sometimes coordination with utility or energy providers.

When scheduling, we prioritize based on the date your proposal was accepted—projects accepted first are scheduled first. We usually notify you 48 hours in advance once we set your workday. Please note that scheduled dates are always subject to weather and equipment availability.

Even if you see our crew working nearby, they cannot be called over for additional work. Their day is fully scheduled, and there isn’t a time window to take on extra jobs.

If you like what you see, please call our office at (484) 524-4545. We’ll schedule a tree care professional to visit your property, assess your tree(s), discuss your needs, and provide a proposal. Once you accept the proposal, we’ll contact you a few days before the work is scheduled to be completed.

Invoices & Payment:

No. Once the project is complete, we’ll send you an invoice for the work.

Tipping is entirely optional and never expected. That said, our team members greatly appreciate a tip if you feel they’ve done an exceptional job.

We accept cash, personal checks, Visa, Mastercard, and American Express.

Yes, you can pay by credit card either by calling our office at (484) 524-4545 or through the online payment portal linked in your invoice.

Please note that we add a 3.5% convenience fee to your invoice for credit card payments.

What to Expect:

No, you don’t need to be present unless we’ve specifically requested it.

Our crew or treatment technicians will have a detailed work order outlining the tasks from your proposal and will complete the work according to those guidelines.

Sometimes, if the symptoms are very clear, one of our Certified Arborists may be able to provide a diagnosis over the phone. However, many factors—like nearby landscaping, soil conditions, and irrigation—can affect a tree’s health. For an accurate assessment, an on-site visit is usually required.

Please inform us if you have any animals on the property before we arrive for an estimate. All pets should be brought indoors or securely contained prior to our team’s arrival.

Tree work can be loud and stressful for animals, so please ensure they are kept safely away from the work zone while our crew is on site.

Yes, it’s always a good idea to contact Call Before You Dig (811) to have underground utility lines marked before stump grinding, tree removal, or major pruning work.

If you have underground sprinklers, drain lines, invisible fences, septic fields, or cables, these should also be clearly marked or mapped.

Please note: unless all underground lines and structures are accurately marked and this information is provided to our crew before work begins, we cannot be responsible for any damage that may occur during the job.

Yes, we clean up all debris generated by our tree services before leaving your property—unless other arrangements are noted in your quote.

This includes raking lawn areas, clearing streets and sidewalks, and removing all brush, branches, and logs from your property.

The time needed to safely and properly complete tree work depends on several factors. We can’t provide an accurate estimate until we’ve inspected the tree(s) and the job site. Our team will discuss timing with you during or after the site visit.

About Us:

Tree work is inherently risky for both workers and property. Without proper tree care insurance (which differs from standard landscaping insurance) and workers’ comp, you may face liability if an accident occurs. Always verify the insurance credentials of anyone you hire for tree work.

Our liability policy covers damage to property, people, and buildings, specifically including any incidents caused by tree work.     One of our team members will stop by to take a look at the trees and the surrounding area. After the visit, we provide a clear quote outlining the recommended work and pricing.

  3. Scheduling the Job
    Once you approve the estimate, we schedule the job at a time that works for you. If the work is urgent - such as storm damage - we prioritize those jobs and try to respond as quickly as possible.

  4. Confirmation Before the Visit
    Before the scheduled service date, we confirm the appointment and make sure everything is ready for the crew. If there are any access instructions or property details we should know, we go over those in advance.

  5. Day of Service
    Our crew arrives as scheduled and completes the work according to the plan discussed during the estimate.
